Paper Submission Guidelines

  • Authors are requested to prepare their papers according to the official WUETecS – 2026 paper template. 
  • Papers that do not follow the given template will be returned for correction or rejected.

Paper Submission

  • Use the following link for the initial submission of the paper.
  • The main supervisor should be designated as the corresponding author for all submissions.
  • Make sure the paper is in the correct template.
  • Every student must initially submit:
    1. An extended abstract
    2. A consent letter duly recommended by their Individual Research Project (IRP) supervisor(s).

     

Camera-Ready Paper Submission

  • After incorporating reviewer feedback and making the necessary corrections, authors must submit the camera-ready version of their extended abstract or abstract for publication.
  • Authors of accepted papers are required to submit the final camera-ready version of their papers by 13th July 2026.
  • Authors selected for oral presentations must prepare their submissions according to the extended abstract template.
  • Authors assigned to poster presentations must prepare their submissions according to the abstract template.

Important Note

  • Only camera-ready papers presented at the symposium, either as oral or poster presentations, are eligible for publication in the WUETecS Proceedings.

  • Camera-ready papers that are not presented during the symposium will not be considered for publication.

Presentation Guidelines

General Requirements for All Presenters

  • All the presenting authors must register at the symposium desk and arrive at their designated session venue at least 30 minutes before the session begins.
  • All presenting authors must remain present throughout the entire duration of their assigned oral or poster presentation session.

  • Certificates of presentation will only be awarded to authors who have presented their work.

  • Certificates will be distributed at the session venue upon the conclusion of the session.

  • All presenters are expected to adhere to a formal professional dress code.

Guidelines for Oral Presentations

Time Allocation

  • Each oral presentation is allocated a total of 15 minutes.

    • Presentation: 10 minutes.

    • Question & Answer (Q&A): 5 minutes.

  • A warning bell will ring at the 8-minute mark, and a final bell will ring at 10 minutes to signal the end of the presentation. Presenters must strictly adhere to these time limits.

Presentation Materials

  • Presenters must use the official WUETecS Oral Presentation Template.

  • Slides should be prepared in Microsoft PowerPoint (.pptx) or PDF format.

  • Final presentation files must be submitted to the session coordinator before 15th July 2026.

  • Bringing a backup on a USB drive is highly recommended.

Guidelines for Poster Presentations

Poster Specifications

  • Posters must be designed using the official WUETecS Poster Template.

  • The standard size for posters is A3 (297 × 420 mm) in Landscape orientation, unless otherwise specified.

  • Posters should be in colour, visually engaging, using clear headings, high-quality images, and concise text to summarize the research.

Presentation and Evaluation

  • Presenters must stand by their posters during the designated poster session to explain their work and answer questions from judges and attendees.

  • Each poster presentation is allocated a total of 8 minutes for the judging process.

    • Brief Presentation: 5 minutes.

    • Question & Answer (Q&A): 3 minutes.

Poster Submission

  • Printed posters must be submitted to the session coordinator before 15th July 2026.
  • Presenters are responsible for removing their posters at the end of the symposium.
